Internal AI assistant, so staff stop asking each other
Your team can ask what the procedure is, which form to use, or what was agreed with a supplier — and get the answer plus the document it came from. Faster answers for them, fewer interruptions for you.
What that includes
Everything in Staff AI assistant
- 01We write up the answers with you, and each one names its source document
- 02Staff ask in plain language, and get the entry plus the document behind it
- 03It never answers without a citation — a question it has nothing for gets a no
- 04It is internal only, and never speaks to your customers
- 05A manager can correct or add an answer without waiting on us
- 06Hosted, maintained and kept current as the business changes
Stop being the help desk
In most growing businesses, one person is the answer to every “how do we…?” question. Each one takes a minute; together they take the day. The assistant answers from your own approved documents, with the source attached, so people stop queuing at that person’s desk.
The same answer, every time
When five people explain a procedure, you get five versions of it. The assistant gives the one you approved — and says so when nothing has been written down, rather than guessing.
- Answers only from material you have approved
- The document it came from, every time
- Never speaks to a customer
New staff, up to speed sooner
The question a new starter is embarrassed to ask twice, they can ask the assistant instead. That is time back for whoever used to answer it.
Questions
Questions we get asked about this
What happens when it does not know?
It says so. Every answer it gives is one you have approved, with the document behind it attached, and a question nothing has been written up for gets "I do not have an answer for that" rather than a constructed one. That is the setting we would choose again — a confident wrong answer about a safety procedure reads exactly like a right one, and the person acting on it cannot tell the difference.
Is this the same as the assistant on your website?
No, and it is worth being clear about it. A website assistant talks to your customers and is built to hand over to a person. This one is internal, it never speaks to a customer, and it answers from your own approved material rather than from your public copy. Different audience, different rules about what it is allowed to say.
Who writes the answers it gives?
We do, with you — that is most of the setup. Each entry names the document it came from, which is what makes the citation possible and what stops the assistant drifting away from what your business actually decided. After that a manager can correct an answer or add a new one without waiting on us.
Does it replace our documentation?
No. It points at it. The documents stay where they are and stay the source of truth; the assistant is the way someone finds the right one in a sentence instead of in twenty minutes. If a process has never been written down anywhere, the honest answer is that this will tell you so rather than fill the gap.
What does an internal AI assistant cost?
It generally starts from $4,000 to set up, and from $600 a month after that. Most of the setup is the work of writing and sourcing the answers it will be allowed to give, which is also the part that decides whether it is any good. The monthly covers the hosting, the model it runs on, and keeping the answers current as the business changes.

A website chatbot is only as good as what it actually knows
Most business chatbots fail for one reason: they were never given accurate information about the business. The model is rarely the problem.

What does an AI chatbot cost in Australia?
From about $2,000 for a basic build to $50,000 for something genuinely custom. The spread is almost entirely about what the bot is allowed to say and what it has to connect to.
