How do I know whether I need this or just a website?

A website tells people what you do. A web app does something for them or for you — takes a booking, produces a quote, tracks a job, gives a client somewhere to log in. If the thing holding you up is work rather than visibility, it is probably this.

Is it cheaper to buy software that already exists?

Usually, and when it is we will say so. Building is worth it when the off-the-shelf option forces you to change how you work, or when you would be paying per seat forever for something you use a fraction of. That is a judgement worth making before anyone writes code.

What happens if we need it changed in a year?

It gets changed. That is what the monthly subscription is for, and it is the reason we build things rather than assemble them — software you cannot modify is software with an expiry date.
